Look, we get it - nobody actually enjoys reading privacy policies

But since we're lawyers who deal with corporate governance and data privacy every day, we figured we'd make ours actually understandable. You're trusting us with sensitive business info, so it's only fair we're crystal clear about what happens with it.

Here at Pyrelith Vortexia, we've been protecting client data since day one. Whether you're reaching out for IP protection or need help with a merger, your information stays locked down tighter than Fort Knox. That's not just good practice - it's literally our job.

Alright, so when you contact us or work with our firm, we'll collect stuff like:

  • Basic contact details - name, email, phone number, business address. Pretty standard.
  • Business information - company name, your role, industry sector. Helps us understand your needs better.
  • Case-specific data - whatever you share with us regarding your legal matter. This could be contracts, IP documents, corporate records, etc.
  • Website usage data - cookies, IP addresses, browser info. Just so we know how people use our site.
  • Communication records - emails, phone call logs, meeting notes. We keep track of our conversations for your protection and ours.

If you're just browsing our site, we're not collecting much beyond basic analytics. But once you reach out or become a client, we'll need more detailed info to actually help you.

We're not in the business of selling your data or doing anything shady. Here's what we actually do with it:

  • Provide legal services - kinda the whole point. We need your info to represent you effectively.
  • Communication - sending updates, responding to inquiries, scheduling meetings. Can't help you if we can't talk to you.
  • Billing and accounting - gotta keep track of hours and invoices. The taxman demands it.

Solicitor-client privilege is sacred to us. That said, there are a few scenarios where information might be shared:

  • Service providers - things like cloud storage, email services, accounting software. They're all under strict confidentiality agreements.
  • Legal obligations - if a court orders us to disclose something or if there's a regulatory requirement, our hands are tied.
  • With your consent - if you explicitly tell us to share info with someone (like opposing counsel or a potential buyer in an M&A), we will.
  • Professional advisors - our own lawyers, accountants, or insurers. Sometimes we need backup too.

We don't sell, rent, or trade your information. Period. That'd be a massive breach of trust and probably get us disbarred.

Given that we handle sensitive corporate data and IP matters, security isn't just important - it's everything. Here's how we protect your information:

  • Encryption - all data transmission is encrypted with industry-standard SSL/TLS protocols.
  • Secure servers - our data is stored on Canadian servers with multiple layers of protection.
  • Access controls - only authorized personnel can access client files, and we track who views what.
  • Regular audits - we review our security practices regularly and update them as needed.
  • Physical security - our office at Bay Street has controlled access and surveillance systems.
  • Staff training - everyone on our team is trained in data protection and confidentiality protocols.

Look, no system is 100% hack-proof, but we're doing everything humanly possible to keep your info secure. If there ever was a breach, we'd notify you immediately and take whatever steps necessary to fix it.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately. Here's the deal:

  • Essential cookies - these keep the site functioning. Can't really turn 'em off without breaking things.
  • Analytics cookies - help us understand how people use our site so we can make it better. We use tools like Google Analytics.
  • Preference cookies - remember your settings and choices so you don't have to re-enter stuff.

  • Correction - if something's wrong or outdated, let us know and we'll fix it.
  • Withdrawal of consent - you can tell us to stop using your info for certain purposes (with some legal exceptions).
  • Deletion - in some cases, you can ask us to delete your data. But we might need to keep certain records for legal or regulatory reasons.
  • Portability - you can request your data in a commonly used format to transfer elsewhere.
  • Complaints - if you think we've mishandled your data, you can file a complaint with the Privacy Commissioner of Canada.

We don't keep your info forever, but we can't just delete everything the moment a case closes either. Here's our approach:

  • Active client files - kept for the duration of our relationship plus whatever's needed to complete the matter.
  • Closed files - typically retained for 7-10 years, depending on the nature of the work and regulatory requirements.
  • Financial records - kept for at least 7 years for tax and accounting purposes.
  • Marketing communications - if you've opted in, we'll keep your contact info until you unsubscribe.
  • Website data - analytics and cookie data is usually retained for 12-24 months.

The Law Society of Ontario has rules about retention periods, and we're following those to the letter. Once the required retention period expires and there's no ongoing legal reason to keep something, we securely destroy it.

Our website might link to other sites or services - legal databases, government resources, industry publications, that sort of thing. Once you click through to one of those, you're subject to their privacy policies, not ours.

We try to link to reputable sources, but we can't control what they do with your information. It's worth reading their privacy policies too, especially if you're sharing any personal data.

Same goes for any third-party tools we use - like our client portal or document sharing platforms. We vet them carefully and make sure they have solid security practices, but they operate under their own privacy policies.

Our services are designed for businesses and adults. We don't knowingly collect information from anyone under 18. If you're a parent and think your kid has somehow provided us with personal information, let us know and we'll delete it ASAP.

This is a corporate law firm, so it'd be pretty unusual for minors to be interacting with our site anyway, but we're covering our bases here.

Privacy laws change, technology evolves, and our practices might need updating. When we make changes to this policy, we'll update the "Last Updated" date at the top of the page.

For minor changes, we'll just update the page. If there's something major that significantly affects how we handle your data, we'll send you a notification - probably via email or a prominent notice on our site.

It's worth checking back here occasionally to stay informed. We don't make changes for fun - usually it's because of new regulations or to better protect your privacy.
